The Advising Office is located in the Rachel Carson College Academic Building, Room 114. Students can schedule an appointment or come to scheduled drop-in hours.

Please note that all advising appointments must be made at least one day in advance!
Advising Office Hours: Monday – Friday, 9am – 12 noon & 1pm - 4pm, excluding holidays
Drop In Advising Hours: Times vary, but during the academic year, generally Monday - Friday 10:00am - 11:30am and 1:30pm - 3:30pm, excepting scheduled staff and campus meeting times. Call ahead to verify Drop-In Advising the day you plan to come.
Core Enrollment Information:
Core Class Placement: Email <carsoncapc@ucsc.edu>
"Extra Student" Not on Your Roster:
Immediately, have student email <carsoncapc@ucsc.edu> to determine correct core class.
"No Shows" and Absences:
Immediately contact <carsoncapc@ucsc.edu> if students do not attend the first class so that they can be located and refered to the correct instructor, or if a student is absent more than one or two classes/sections. Rachel Carson College Advising will conduct a follow-up check on the student's well-being (or their plans to withdraw from the university).

Withdrawals/Leave of Absence Process:
Contact Rachel Carson College Advising if a student has informed you they intend to withdraw or take a Leave of Absence from UCSC. Note that after the withdrawal by petition deadline, students can only withdraw for a documented emergency (medical, family etc.) reasons. Rachel Carson College advisers can work with the student on their options and needs.
How to request a withdraw grade from a class

After you log in, click on the Enrollment tile and select Drop.

Select the class from which you wish to withdraw, and click the Drop Selected Classes Button.

Confirm your selection and select the Finish Dropping button. This will automatically add the withdrawal (W or NP) to your record.
Deadlines and policies associated with W and NP grades:
- The winter 2020 deadline for a W grade is February 18, 2020.

The winter 2020 deadline for withdrawal with a “no pass” (NP) grade is March 6, 2020.

Once submitted, the withdraw grade (W or NP) may not be rescinded.

Students may not withdraw from all courses. If you need to withdraw from the university, please complete the Withdraw/Leave of Absence process.

Students on an F1 or J1 visa need to have approval for Reduced Course Load from their College and International Student and Scholar Service to go below 12 credits (this includes receiving withdraw, W and NP, grades).

Only students in good academic standing can receive NP grades.

If a course has a co-requisite or concurrent enrollment, you will need to withdraw from both courses.
If you have questions about withdrawing from a class with either W or NP grades, please visit Withdrawal from a Class with a W or NP Grade, or contact your college advising office.
Incomplete (I) Grades:

At an instructor’s discretion, an I grade notation may be assigned for work which is of passing quality but incomplete (incomplete information).
- The student must meet with you and understand what is required to complete the classwork - including a timeline to submit the completed classwork.

The final deadline for Fall 2017 is TBD to submit the completed work to you (along with the Removal of Incomplete form). The student will be assessed a $10 fee on their student account.

When the coursework is completed and you have signed the petition, assign a grade for the student, and send the form to the Office of the Registrar (190 Hahn Student Services Center, registrar@ucsc.edu). You can update the grade in your faculty portal.

Academic Misconduct:

Contact Sue Carter, Provost <sacarter@ucsc.edu> if you suspect a student has been cheating or plagiarized.
Academic Difficulty (in Core or suspected elsewhere):

Call or email a Rachel Carson College adviser or refer the student to the Advising Office.

Drop-in Writing Tutoring available through Learning Support Services or make an appointment with the Westside Writing Center.

Students with disabilities, or those who suspect they may have one, can contact the Disability Resource Center (DRC): drc@ucsc.edu or (831) 459-2089.
Emotional Issues, Psychological Concerns, Suspected Drug/Alcohol Abuse:

Notify advising and student life staff (Mari Ortiz-McGuire, mcmcguir@ucsc.edu, 831-459-2796) so we can check-in with the student (or consult with other staff for appropriate follow up).

Refer student to Counseling and Psychological Services or Let's Talk Program. Counselors are available for phone consultation with students and faculty. Student can see a counselor without charge; Crisis counseling is also available.

Privacy: Family Educational Rights and Privacy Act (FERPA) and the Classroom:

Faculty may not:
Return essays or graded coursework in an unattended (public) box.
Post grades or other enrollment information, including student's names.
